Start with the document that answers your immediate question. For a new production, agree the brief and expected outputs first, then add shot requirements, timing and department records. Avoid filling a form with assumptions just to complete every space.
Keep one current version with a date and responsible person. Duplicate rows or pages when needed and remove sections that do not fit the shoot. Keep private information in restricted records and circulate only the details the recipient needs.
