How to organise a final delivery
Deliver the agreed versions with clear names, approvals and handover notes.

Step 1
Confirm the deliverables
Check the formats, versions, captions and other outputs agreed with the client.
Step 2
Check each export
Review picture, sound, titles and file playback.
Step 3
Record approval
Keep the agreed sign-off and identify the approved version.
Step 4
Name and deliver files clearly
Use consistent names and the agreed delivery method.
Step 5
Record the archive handover
Document what was delivered, where the authorised archive is stored and any agreed retention arrangements.

A fictional campaign delivery
The client approves version 04. Export the agreed landscape and portrait versions, check picture and sound on both, then record filenames, delivery destination and the approval reference. Keep the agreed archive handover separate from promises about indefinite storage.

Before you share the plan
- Check the date, version and responsible contact.
- Separate confirmed details from open questions.
- Use consistent scene, shot or file references.
- Give actions a named owner and realistic deadline.
- Share only the personal information each recipient needs.
Ask the relevant department lead to check practical details. Keep older copies clearly marked and tell recipients when a revision changes something they need to act on.
