How to write a clear call sheet
Create one clear reference for the people who need to arrive, prepare and work together.

Step 1
Collect the essentials
Confirm the shoot date, location, production contact and the latest agreed schedule.
Step 2
List calls by role
Give each department and cast member their confirmed arrival time. Distinguish crew call from the first scheduled shot.
Step 3
Add practical information
Include access instructions, relevant preparation and emergency contacts confirmed for your production.
Step 4
Check with department leads
Review timings, spelling and phone numbers. Ask the responsible team members to check their details.
Step 5
Send one current version
Date the call sheet, clearly identify revisions and distribute only the personal information recipients need.

A fictional product shoot
Crew arrive at 08:00, the model at 08:30 and the first setup starts at 09:00. The producer confirms access with the studio, then lists department calls and a clearly dated revision. These are example times, not Cineview opening hours.

Before you share the plan
- Check the date, version and responsible contact.
- Separate confirmed details from open questions.
- Use consistent scene, shot or file references.
- Give actions a named owner and realistic deadline.
- Share only the personal information each recipient needs.
Ask the relevant department lead to check practical details. Keep older copies clearly marked and tell recipients when a revision changes something they need to act on.
